TERMS AND CONDITIONS – DOG WEDDING CHAPERONE SERVICE
Effective: November 2025
This Agreement is made between Happy Tails Forres (“HTF” or “the Service Provider”)
and the Client (as named on the Booking Form).
The Client wishes to engage HTF to provide a Dog Wedding Chaperone Service (“the
Service”) as detailed in the Booking Form. By signing this Agreement, the Client confirms
they have read, understood and agree to these Terms and Conditions together with HTF’s
Policies and Procedures.
1. PRE-SERVICE REQUIREMENTS
1.1. A meet-and-greet will be held prior to any booking to assess the Dog(s)’ suitability and
to discuss arrangements for the wedding day.
1.2. Following the meet-and-greet, HTF will provide a written quote detailing the proposed
Service. The quote is valid for 14 days.
1.3. A booking is confirmed only when:
a) The Client accepts the quote in writing;
b) All required forms (Booking Form, Dog Information Form, Veterinary Release Form,
and these Terms & Conditions) are completed and signed by both parties; and
c) A 30% non-refundable deposit has been received by HTF.
1.4. The Client has the legal right to cancel this Service within 14 calendar days of signing
this Agreement, as per consumer law.
2. CLIENT RESPONSIBILITIES
2.1. The Client shall provide accurate and complete information about their Dog(s), including
medical conditions, temperament, and any relevant behavioural details.
2.2. The Client agrees to update HTF immediately regarding any changes to the Dog(s)’
health, behaviour, or wedding arrangements.
2.3. By entering into this Agreement, the Client confirms that each Dog is in good health,
vaccinated, and free from contagious or infectious conditions.
2.4. HTF cannot accept responsibility for issues arising from the Client’s failure to disclose
relevant information.
2.5. The Client remains fully responsible for all costs or damages caused by their Dog(s),
including veterinary, medical, or legal expenses.
2.6. The Client confirms their Dog(s) are appropriately insured for the duration of the
Service.
3. DUTY OF CARE, LIABILITY & INSURANCE
3.1. HTF will provide all reasonable care and attention to the Dog(s) during the Service.
However, HTF accepts no liability for illness, injury, or death of any Dog(s), provided
reasonable care has been exercised.
3.2. HTF maintains appropriate insurance, including Public Liability cover, which applies
only during the provision of the Service.
3.3. HTF shall not be liable for indirect or consequential loss, including emotional distress,
reputational damage, or loss of enjoyment resulting from cancellation or unforeseen issues.
3.4. The Client indemnifies HTF against any claims arising from their Dog(s)’ actions.
4. EMERGENCY PROCEDURES
4.1. The Client must nominate an emergency contact authorised to make decisions
concerning their Dog(s).
4.2. If the Client or contact cannot be reached, HTF is authorised to obtain veterinary
treatment as deemed necessary.
4.3. HTF will use the Client’s preferred veterinary practice where possible; however, this
cannot be guaranteed.
4.4. The Client is responsible for all veterinary costs incurred.
5. PAYMENTS
5.1. HTF’s Dog Wedding Chaperone Service packages and prices are listed on the website
and available upon request.
5.2. A 30% non-refundable deposit is required to secure the wedding date.
5.3. The final balance will be invoiced one month before the wedding date, payable within
7 days of receipt.
5.4. Failure to pay the balance on time will result in cancellation of the Service.
5.5. Late payments may incur a 10% surcharge per 7-day period after the due date.
5.6. All payments must be made by bank transfer (details provided on the invoice).
6. CANCELLATIONS & REFUNDS
6.1. By the Client:
a) Cancellations must be made in writing by email to info@happytailsforres.com.
Cancellations via social media, telephone or verbal communication will not be accepted.
b) The 30% deposit is non-refundable.
c) If cancellation occurs 14 days or less before the wedding date, no refund of fees will be
issued.
d) If the Client reschedules the wedding, HTF will make reasonable efforts to
accommodate the new date, subject to availability. If unavailable, this will be treated as a
cancellation.
6.2. Extenuating Circumstances:
The deposit may be refunded at HTF’s discretion in cases of confirmed veterinary
circumstances such as illness or death of the Dog(s), or if HTF determines that attendance
would pose a risk to the Dog(s)’ wellbeing.
6.3. By HTF:
In the unlikely event HTF must cancel due to illness, emergency, or force majeure, HTF
will:
a) Seek to provide a suitably qualified and insured substitute (subject to Client
approval); or
b) Offer a full refund of all fees paid if no suitable substitute is available.
6.4. HTF shall not be liable for any indirect or consequential loss resulting from such
cancellation.
7. BEHAVIOUR & SAFETY
7.1. Should a Dog display aggression, anxiety, or behaviour deemed unsafe, HTF may take
any reasonable action necessary, including terminating the Service, seeking veterinary or
professional assistance, or placing the Dog in boarding care.
7.2. Any associated costs will be chargeable to the Client.
7.3. No refunds will be provided if the Dog(s) are withdrawn due to behaviour not previously
disclosed.
8. PHOTO & MEDIA CONSENT
8.1. The Client grants HTF permission to photograph or video their Dog(s) for documentation
and promotional use (including on the HTF website, social media, and marketing materials).
8.2. HTF will not publish any personal identifying information (such as names or wedding
details) without explicit consent.
8.3. Clients who do not wish images of their Dog(s) to be used must notify HTF in writing
before the wedding date.
9. PRIVACY & DATA PROTECTION
9.1. HTF is committed to protecting personal data in accordance with the UK General Data
Protection Regulation (UK GDPR) and all applicable data protection laws.
9.2. Details of how Client and Dog information is collected, stored, and used are set out in
HTF’s Privacy Policy at www.happytailsforres.com.
9.3. By entering this Agreement, the Client acknowledges and agrees to these data practices.
10. FORCE MAJEURE
10.1. Neither party shall be liable for delay or failure in performance caused by events
beyond their control, including but not limited to illness, weather, strikes, fire, or other
emergencies.
10.2. The affected party must notify the other as soon as reasonably practicable.
11. ENTIRE AGREEMENT & GOVERNING LAW
11.1. This Agreement, together with the Booking Form and supporting documents,
constitutes the entire understanding between the parties and supersedes any prior discussions
or representations.
11.2. Any amendments must be made in writing and signed by both parties.
11.3. This Agreement is governed by and construed in accordance with the laws of Scotland,
and both parties submit to the exclusive jurisdiction of the Scottish courts.
